Guidelines for abstract presenters

Congratulations on having your abstract accepted for presentation at CEPAS 2026!

Depending on the evaluation of your abstract, your work will be presented as a Poster, Poster of Distinction, ePoster or Oral Presentation. Please carefully review the guidelines for your assigned presentation format below.

Important information for all presenters

Presentation numbers

All abstract presentation will receive an individual presentation number.

Your presentation number will be sent to you separately by e-mail. Please keep this number available when preparing your presentation.

Please read the following guidelines carefully before preparing your poster.

Format and content of your poster

	Please prepare your poster in A0 format (841 mm x 1189 mm, portrait format).
	The poster has to be prepared in English, the official language of CEPAS.
	Poster walls will be arranged in topic groups and ordered by poster number. Your poster number will be sent to you separately by e-mail.
	All materials needed to fix the posters will be provided on-site at the Poster Desk in the Poster Area in the exhibition.
	Please print your poster on common materials, such as standard paper. To ensure that your poster can be securely fixed to the poster wall, please avoid the usage of laminated paper, synthetics, fabric or other heavy materials. Otherwise you are risking that your poster will drop down during the congress.
	Your poster must contain a declaration of Conflict of Interest in the summary of the poster. Please be aware that it is not allowed to include any commercial logo!

Set-up and dismantling

Set-up:

• Wednesday, 28 October 2026, 17:30–19:00
• Thursday, 29 October 2026, from 08:00

Dismantling:

• Saturday, 31 October 2026, by 16:00

Posters that have not been removed by this time wil be disposed of by the meeting organisers.

Poster Session

The Poster Session will take place on Saturday, 31 October 2026, 11:40 – 12:45h. All poster presenters should stand by their posters during this session in order to talk with other participants about their work.

Posters of distinction will be displayed in the Poster Exhibition, which will be open throughout the congress from Thursday, 29 October to Saturday, 31 October 2026. They will also be presented during the Poster Walk.

Additionally, all posters of distinction will be available in the digital poster gallery.

Poster Walk

The Poster Walk will take place on Saturday, 31 October 2026, 11:40 – 12:45h. All presenters of a poster of distinction should stand by their posters during this session. Poster Chairs will visit the posters and involve presenters and delegates in an interactive discussion.

Digital Poster Gallery

All posters of distinction will also be available in the digital Poster Gallery on the website as well as in the congress app. You will receive a personalised e-mail with the upload link for your poster of distinction at the end of September. Please use the link provided in this e-mail to upload a PDF file of your poster.

The 50 highest scoring posters will be presented as ePosters.

ePosters will be shown electronically at five ePoster stations in the ePoster Area throughout the meeting, from the Opening Session on Thursday morning through to Saturday, 31 October 2026.

Additionally, all ePosters will be available in the digital Poster Gallery on the website as well as in the congress app.

Upload

All ePoster presenters must upload their ePoster by 15 October 2026.

You will receive a personalised e-mail with the upload link at the end of September. Please use the link provided in this e-mail to upload your ePoster.

ePoster Session

The presentation of your ePoster will take place during the ePoster Session:

Friday, 30 October 2026, 17:45 - 18:45

You will present your ePoster at your assigned ePoster station in the ePoster Area.

Your presentation number and assigned ePoster station will be communicated to you by e-mail.

Presentation time: 3 minutes + 2 minutes discussion

Please arrive at the ePoster Area at 17:30, 15 minutes before the session starts, for a short introduction to the ePoster station technology.

Please note that external web links cannot be accessed through the ePoster stations.
